Job brief

We are looking for a responsible and reliable Operations Manager to provide a growing domestic abuse and addiction charity with a range of operational services as listed below and to include administrative support in a well-organized and timely manner.   The successful candidate would ensure compliance with charity regulations/law and the smooth running of a therapeutic service working with vulnerable adults and children.

Responsibilities

  • Act as the point of contact between the charity and internal/external clients.
  • Screen and direct phone calls.
  • Handle requests and queries appropriately.

Requirements

  • Proven work experience as an Operations Manager or similar role
  • Knowledge of office management systems and procedures
  • MS Office and English proficiency
  • Outstanding organisational and time management skills
  • Up-to-date with latest office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality

Duties

Operations Management

Building maintenance – includes:

  • Contracts for telephones, mobiles, fire equipment maintenance, boiler servicing
  • Fire marshal/First aid training
  • Gas/electricity supply contracts
  • Risk assessments for offices/gardens/car park,
  • Repairs to building (fully repairing lease),
  • Repair/replacement/supply of furnishings/IT equipment

Duties:

  • Be aware of and allocate spaces for each of the services listed above, booking rooms, ensuring risk assessment implemented, managed and documented, health & safety procedures, hygiene (including WC’s) and supplies for offices, programmes and facilities.
  • Liaise with departmental heads to ensure staff correctly trained and available for service delivery.

Other Charity Services

  • Media, marketing, and communications strategies in line with the business plan targets.
  • Security – including access through two external entrances
  • HR – Advertising, procedures, recruitment and induction
  • Policy reviews and implementation

Person Specification

  • Compassionate and empathetic, ability to react calmly in emergency situations.
  • Ability to merge into a small core team.
  • Show initiative and be proactive and flexible in a professional manner with attention to detail.
  • Act with integrity and respect

The selected candidate would be expected to undertake a fully enhanced DBS check, and provide two work related and personal references.

Salary circa £28 – £34K full time (pro rata for 26 hours of this post)
